These Terms and Conditions apply to all participants registering for the WPA European Regional Meeting, scheduled as a hybrid event (In-Person and Virtual) from 01–02 November 2025.
• WPA reserves the right to refuse or revoke registration at its sole discretion.
• Access may be revoked at any time for inappropriate conduct or violation of these Terms and Conditions.
• Access credentials for the virtual platform are for each registered participant and must not be shared or transferred.
• In-person participants must wear their event badge at all times and may be required to present personal identification.
• In-person participants must attend all sessions of the event.
• In-person participants are responsible for obtaining all necessary insurance coverage, including travel and health insurance, prior to attending the event
• These Terms remain in effect from the time of registration until the conclusion of all activities and closure of the event platform.
• All fees are payable in US Dollars ($).
• Payment should be made electronically after receiving confirmation of registration from WPA.
• Contact the WPA Office for payment instructions.
• Currency conversion fees may apply depending on your bank. Please check with your issuing bank for details.
• Each WPA Member Organization in the European region may register one (1) in-person delegate.
• In-person slots are limited; priority will be given to those contributing as speakers or panellists.
• WPA reserves the right to determine final in-person participation.
• Individuals not selected for in-person attendance will be granted virtual registration.
In-Person Registration Includes:
• Access to all the in-person Regional Meeting sessions and networking opportunities
• Lunches during the meeting
• Coffee breaks during the meeting
• Access to Regional Meeting recorded content
• A limited number of FULL and PARTIAL travel grants are available for WPA Member Organizations based in Europe (defined as countries within the European continent).
• Grants are only available to participants who have applied for in-person registration.
• If a grantee is unable to attend, the full grant amount must be returned to WPA.
• WPA retains the right to select grant recipients at its sole discretion.
• Funds will be transferred after the event, unless otherwise agreed upon due to financial hardship. In such cases, if the participant does not attend, the grant must be returned in full.
• The deadline for grant applications is 15 August 2025. Questions may be directed to: events@worldpatientsalliance.org.
• Virtual registration is free and open to all, including WPA Member Organizations and patient advocates globally.
• WPA reserves the right to revoke virtual access at any time.
Virtual Registration Includes:
• Access to Regional meeting sessions through virtual platform
• Access to Regional Meeting recorded content
• In-person participants showing symptoms of any notifiable disease (including but not limited to COVID-19) prior to or during the event must adhere to health and safety guidance provided by local authorities and organizers.
• All participants must follow travel regulations and health guidelines relevant to their country of origin and any transit countries.
• The event will be photographed, filmed, and/or broadcast online.
• Your participation may be recorded, including your image, voice, or written contributions, even if you are not presenting.
• WPA reserves the right to use these materials in future promotional content and online platforms.
• Presenters, organizers, and exhibitors retain all copyrights and intellectual property rights to materials shared.
• Reproduction, distribution, or recording of content is strictly prohibited unless explicitly permitted.
• Participants are responsible for maintaining the security of their login credentials and devices.
• Any internet charges incurred while accessing the virtual event are the participant’s responsibility.
• WPA is not responsible for poor internet connectivity on the user’s end.
• The language of the meeting will be English.
Participants must:
• Behave respectfully, promoting dignity, equity, and inclusivity.
• Refrain from unlawful, offensive, or harmful activities.
• Not impersonate others, misrepresent affiliations, or disrupt event systems.
• Not upload malicious software, spam, or collect personal data without consent.
• WPA reserves the right to amend the program, timing, or format of the event as needed.
• In cases of Force Majeure (e.g., natural disasters, war, pandemics), WPA shall not be liable for delays, losses, or damages. WPA may retain registration fees to cover unrecoverable costs or offer credits for a future event.
• In the event of cancellation of the in-person component, participants will be converted to virtual attendees and refunded the registration fee minus bank charges. WPA will not cover travel or accommodation costs, participants are encouraged to obtain appropriate insurance.
• The Organizers do not guarantee the accuracy or completeness of event content.
• While efforts will be made to ensure uninterrupted access, technical issues may occur.
• To the extent permitted by law, the Organizers accept no liability for direct or indirect losses, including loss of data or profits, arising from participation in the event.
• No oral agreement is binding unless confirmed in writing.
• By registering, you consent to the collection and use of your personal data for event administration and communications.
• If you consent, your information may be used for promotional and marketing purposes by WPA.
• Data processing will comply with applicable privacy and data protection laws.
• If any provision in these Terms is deemed invalid or unenforceable, it will be replaced with a valid provision that best reflects the original intent. Remaining provisions remain fully effective.
• These Terms and Conditions are governed by the laws of the United States of America, and any disputes will fall under the exclusive jurisdiction of the U.S. courts.
