General
These Terms and Conditions apply to each participant In-Person and Virtual participant registering for the 2nd World Patients Conference, from 19-20 Oct 2024 at Cape Town, South Africa.
● WPA reserve the right to refuse or withdraw the participation or purchase of a registration to any person at their sole discretion.
● The Organisers will revoke access to the conference for any inappropriate conduct or breach of these Terms and Conditions.
● Access to the Event and access details for the virtual platform are for each individual participant and are not transferable.
● In-person delegates must wear their badges and are advised to bring along personal identification as security checks may be carried out at the Organisers’ discretion.
● These Terms and Conditions apply from the time of registration until the closure of the conference systems and conclusion of activity related to the Event.
Registration Fee
● The conference Registration fee is payable in US Dollars and is set out on the conference website.
● For In-Person Registration requiring registration payment, confirmation is only materialized upon receipt of payment. Once payment has been received, an email confirmation will be sent.
● Payment should be made online by credit or debit card (MasterCard or Visa) during the registration process.
● Payment made via credit/debit cards may be subject to a currency conversion charge imposed by the issuing bank. Contact your bank to enquire about the applicable charge.
Entitlements of Live Virtual Attendance (Free)
This registration grants you access to participate in the conference virtually (online), offering the following benefits:
● Access to all online conference sessions and networking opportunities.
● Access to the virtual poster gallery and exhibition.
● Access to the virtual platform and post-conference video content
Entitlements of In-person Attendance (Free)
This registration grants you admission to attend the conference in person at Cape Town, offering the following benefits:
● One In-person registration is free for each WPA member organization.
● Limited grants for in-person participation are also available.
● Access to all in-person conference sessions and networking opportunities.
● Lunches and coffee breaks
● Access to recorded conference content
Entitlements of In-person Attendance (Paid)
This registration grants you admission to attend the conference in person at Cape Town, offering the following benefits:
● Access to all in-person conference sessions and networking opportunities.
● Lunches and coffee breaks.
● Access to recorded conference content
Cancellations
● Cancellations for In-Person Registrations are free of charge until May 15th, 2024. After this date, a cancellation fee of $100 will apply.
● Cancellations made after July 15th, 2024, will not be eligible for a refund.
● No refunds will be issued for non-participation in the event.
● To cancel In-Person Registrations, written notice must be sent to the Organisers at conference@worldpatientsalliance.org.
Illness
● For In-Person delegates, if you experience symptoms of a notifiable disease (including but not limited to COVID-19) in the few days immediately prior to or during the Event then delegates must follow the rules and guidance given by the authorities and the organisers at the given time.
● Delegates will need to follow the rules and guidance from relevant authorities and the organisers in relation to notifiable disease (including but not limited to COVID-19) and if travelling (especially from another country) you must follow the advice / regulations of your place of residence and any transit countries. This may include taking tests and/or producing a certificate of vaccination.
Photography and recording
● The conference will be broadcast online and may be recorded by the Organisers or others. Aspects of your participation in the event, including but not limited to your image, voice and writings, even if you are not a presenter, may be included in these broadcasts or recordings.
● The Organisers and venue reserve the right to use images and videos taken at the conference with your image and/or likeness in future online and printed materials.
Intellectual property rights
● The Organisers, presenters and exhibitors retain the copyright and intellectual property rights on their respective information, documents, files, presentations, and other content shared during the event.
● You must not copy, retransmit, record, photograph or store event content unless expressly permitted.
Conference systems and conduct
● You will be given access details to enable you to participate in the event using the conference systems. You are responsible for keeping your access details and your device secure.
● Access to the systems may require the use of your computer or mobile device, as well as communications with or use of space on such devices. You are responsible for any Internet connection or mobile fees and charges that you incur when accessing the Event.
● For virtual delegates the Organisers is not responsible for poor internet connectivity.
● You will use the conference systems as set out in the instructions provided.
● You will conduct yourself appropriately. This includes treating all people fairly with dignity and respect, regardless of their age, gender, disability, sexual orientation, religion, race or any other characteristic.
● You agree that you will not: create, upload, transmit, distribute, or store any content that is unlawful, infringing, defamatory, obscene, pornographic, invasive of privacy or publicity rights, harassing, threatening, abusive, inflammatory, or otherwise objectionable; collect, or attempt to collect, personal information about participants or third parties without their consent; impersonate any person or entity; falsely claim an affiliation with any person or entity; misrepresent the source, identity, or content of information transmitted via the systems or perform any other similar fraudulent activity; transmit junk or spam, including but not limited to unsolicited advertising or promotional materials and chain mail; interfere with, disrupt, disable or damage the operation of the conference systems or any participant’s enjoyment of them, by any means, including uploading or otherwise disseminating viruses or other malicious code; use the conference systems for any illegal purpose, or in violation of any local, national, or international law or regulation.
Alterations to programme and postponement or cancellation of Event
● The Organisers reserve the right to amend the programme and to adjust the timings and dates of the Event as may be necessary.
● If the Event cannot be held or has to be postponed due to events beyond the control of the Organisers (force majeure) or due to events, which are not attributable to wrongful intent or negligence of the Organisers, the Organisers cannot be held liable for any delay or failure in performing any of its obligations under these terms and conditions to the extent that such delay or failure is the result of any circumstances of Force Majeure nor for any damages or financial losses incurred by the attendees. Under these circumstances, the Organisers reserve the right to either retain the entire registration fee and to use it for a future congress or to reimburse the attendee after deducting costs already incurred for the organisation of the event, which could not be recovered from third parties.
● If the Organisers shall become aware of circumstances of Force Majeure which give rise to or which are likely to give rise to any such failure or delay on its part, it shall forthwith notify the attendees by the most expeditious method then available and shall inform them of the period which it is estimated that such failure or delay shall continue.
● The expression ‘Force Majeure’ shall mean the occurrence of any act or event which is unforeseeable, insurmountable and outside the control of the Organisers, and which renders the Organiser unable to comply in whole or in part with its obligations under these terms and conditions. Force Majeure includes but is not limited to act of God (such as epidemic, tidal wave, lightning, earthquake, hurricane,) armed hostilities or acts of war (whether declared or not), riots (other than among the Personnel), civil or military disturbances, national, regional or professional strikes (excluding strikes, lockouts and other industrial disputes or actions by, between or originated among the parties). Force Majeure does not include events such as insolvency the Organiser.
● If the Organisers need to cancel the in-person Event and move to a solely virtual event, in person delegates will be offered a virtual registration and refund of the registration fee less bank charges. The Organisers are not responsible for travel or other related costs to attend the Event and recommend that the delegate takes out appropriate insurance cover.
Liability
● The Organisers do not warrant the adequacy, accuracy or completeness of the information conveyed as part of the Event.
● The Organisers do not guarantee uninterrupted or error-free access to the event, but will use their best endeavours to fix interruptions within their control.
● To the extent permitted by applicable law, the Organisers shall not be liable for any direct, indirect or consequential damages of any kind, loss of profits and/or loss of data arising from and in connection with participation in the event. The attendee shall take part in the event at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the Organisers.
Data collection and data privacy
● By registering for the Event, you agree that your personal information as stated in the registration form and provided by you during the Event may be collected, used and disclosed by the Organisers and/or its authorised agents or appointed third parties, for the purpose of running the event, including but not limited to, the facilitating and processing of payment.
● If you give your consent, your personal information will also be used for the additional purposes you agree to, which may include for marketing and promotional campaigns of the Organisers.
● Collection and processing of personal information will comply with the applicable data protection legislation.
Miscellaneous
● If any part of these Terms and Conditions is to any extent illegal, invalid, or incapable of being enforced, such part shall be excluded to the extent of such invalidity or unenforceability. All other terms shall remain in effect and, to the extent permitted and possible, the invalid or unenforceable term shall be deemed replaced by a term that is valid and enforceable and that comes closest to expressing the intention of such invalid or unenforceable term.
● These terms and conditions are governed by and construed in accordance with the laws of United States of America. Any dispute you have which relates to these terms and conditions will be subject to the exclusive jurisdiction of the courts of United States of America.
